What exactly does vitaFleet do?

vitaFleet is a fleet management system that brings every record about your fleet into one place: vehicle and equipment details, maintenance plans, fuel consumption, inspection and document expiry dates, work orders, parts inventory, HGS/OGS toll crossings (Turkish electronic toll systems), and traffic fines. Instead of scattered Excel files, it warns you ahead of time about what each vehicle needs and when.

How do I get started? Can I sign up myself?

Accounts are opened by invitation; there is no open sign-up. You fill out the demo request form, we prepare an environment suited to the size and needs of your fleet, and we get back to you within one business day at the latest. Your first account is opened with 'owner' permissions, and you invite your team.

Do I need any installation or technical infrastructure?

No. vitaFleet runs in your browser; you don't need to set up a server, install software, or have a separate IT team. You access the same account from the browser on your computer, tablet, or phone.

Can I move my existing Excel files and records over?

Accepted Answer

Yes. Vehicle lists, driver/person details, suppliers, and historical records are brought over with the import wizard. You map the columns in your own file to our fields once; Turkish number and date formats (1.250,50 and 12.08.2026) are read correctly, and rows that don't match stay in a separate list instead of silently disappearing.

How many users can I add, and can I separate permissions?

Team members are added by invitation and given permissions by role. For example, you can show a branch manager only their own location and a driver only their own vehicles and documents. Every change is written to the activity log, so you can trace who changed what and when.

Are HGS/OGS crossings and traffic fines really supported?

Yes, these are not add-ons; the product was built from the start for how things work in Türkiye. You upload the HGS/OGS statement, and crossings are linked to the vehicle by tag number and to the driver by date. For fines, the driver is found from the vehicle assignment at the time of the fine, the early-payment discount deadline is tracked, and charging the fine back to the driver can be flagged.

Does it track document and inspection expiry dates?

Yes. Besides the TÜVTÜRK inspection, compulsory traffic insurance, comprehensive insurance, emissions test, and the K-class road transport authorization certificate, it also tracks drivers' license, SRC (professional driver certificate), psychotechnical, and medical report expiry dates. It warns you before they expire, so you don't run into a fine or a vehicle that can't go out on the road after the fact.

How do notifications arrive? Will my inbox be flooded all day?

No. Instead of a separate email for each item, a single daily summary email is sent; each line says which item is overdue or coming up for which license plate. In-app bell notifications also accumulate separately. You can choose the channel by notification type (off / in-app / email / both).

Which reports can I get?

There are 31 ready-made reports: cost per vehicle, expense per km, depreciation, VAT breakdown, spend by supplier, fuel efficiency, replacement analysis, and more. In lists, you pick columns and set up filters, then save your own view as a tab.

Is my data secure, and is there a GPS/telematics integration?

Accepted Answer

Data is kept separate for each organization, and access is limited by role-based permissions. Today there is no automatic live location feed; vehicles' last known location and defined places are shown on the map, and telematics integration is on the roadmap. You can export your data at any time.
