Managing driver documents before they expire

Even if the vehicle is documented, a trip is still unlawful if the driver's documents have lapsed. Tracking the driver's license, SRC, psychotechnical assessment and health report in a single calendar closes this risk.

Managing driver documents before they expire

In document tracking, all eyes are on the vehicle: inspection, insurance, exhaust. Yet what makes a trip unlawful is often not the vehicle but the driver. A trip made with a driver whose license, SRC (professional driver certificate) or psychotechnical certificate has expired is risky even with the best-maintained vehicle. And the expiry of these documents is usually noticed at the last minute, sometimes during an inspection.

Personal documents need a separate calendar

Driver documents run on different rhythms from vehicle documents; they are obtained from different institutions, expire on different schedules and must be tracked separately. In vitaFleet, personal documents are kept on the person record by expiry. The types that come ready in the list:

  • Driver's license
  • SRC certificate
  • Psychotechnical report
  • Health report
  • Professional competency certificate

For each document, the expiry date, document number and file are entered. A driver whose document is about to expire shows up in the list before heading out on a long trip.

The driver card: at a glance

On a person's detail page, all documents and their expiry dates appear together. The list is sorted by expiry; expired ones sit at the top. Looking at this card before assigning a trip to a driver is a check of a few seconds.

One summary a day

Upcoming and expired documents are collected in a single daily summary email instead of item-by-item notifications; which person each item belongs to is clearly stated. A single scannable list arrives. Because this tracking depends on the system and not on a coordinator's memory, it doesn't stall even if that person is on leave or has left the company.

Responsibility lands on the person

Document tracking gains its full meaning when combined with the assignment record. Which person used which vehicle on which dates is kept in the assignment. When a fine, toll or incident arrives, the right driver is found from the assignment at the time of the event; in an inspection or an investigation, the question 'who was there that day, and was their document valid' is answered with the record, not with memory.

Shuttle and school transportation

In fields such as staff and student shuttles, driver documents are especially critical, because the number of people carried is high and inspections are frequent. In these fields, vehicle documents, driver documents and the daily vehicle check are tracked together. A failed check item turns into a fault record and enters tracking.

An implementation plan

  • Register all drivers as people and add document types.
  • Enter expiry dates and document files.
  • Keep vehicle assignments current.
  • Open the daily summary email to the responsible managers.
  • Once a month, look at expired or upcoming documents.

The first day for a newly hired driver

When a new driver arrives, the tasks are short and sequential: register the person, enter documents such as license, SRC, psychotechnical and health report with their expiry dates and attach their files. Then assign the vehicle they will use and have them do the first daily vehicle check. The driver should not go out on a trip before these four steps are complete; someone with missing documents is clearly visible in the list.

A driver who renews a document

When a document is renewed, you enter the new expiry date and the new file; the reminder works according to the new date. Skipping this step shows the driver as 'expired' in the list even though the document is actually valid, and produces a needless alarm. The reliability of the alarm depends on renewals being recorded on time.

The driver in fines, tolls and damage

Driver information is not only for document tracking. Fine, toll and damage records are linked to the driver through the vehicle assignment at the time of the event. Damage history is tracked by driver; at-fault, not-at-fault or shared-fault status is kept in the record. If the driver is left empty in an accident record, it is found from the assignment at the time of the accident. This way a driver-level table shows document, fine and damage information together.

Remember that this is personal data

Documents such as the driver's license and health report contain personal data. That is why access to them should not be open to everyone: users see according to their role and every change is written to the activity log. When setting up document tracking, thinking in advance about who should see what is easier than fixing it later.

Common mistakes

  • Tracking only vehicle documents and forgetting driver documents.
  • Not updating the record after a document is renewed.
  • Not keeping assignments and leaving the question 'who was there that day' unanswered.
  • Tying notifications to a single person.
  • Keeping sensitive documents such as health reports where everyone can see them.

Extra care in shuttle and passenger transportation

In fields such as staff or student shuttles, the responsibility placed on the driver is higher. In these fields, driver documents (license, SRC, psychotechnical, health report) should be tracked together with vehicle documents and the daily vehicle check. If any one of the three is missing, the trip goes out with incomplete safeguards. A failed item on the pre-trip checklist turns into a fault and enters tracking; a driver whose document has expired lands in the list. Having these two alarms appear in the same place gives the person in charge a single control screen.

Monthly review

The list of personal renewals is sorted by expiry and expired ones sit at the top. Setting aside ten minutes once a month to look at this list is enough: whose document has expired, whose is approaching, for whom the renewal process has started. Sharing the list with the relevant managers makes document renewal belong to a team rather than to one person.

In the end, tracking driver documents is not a formality but the legal foundation of the operation. A few minutes of setup prevents serious consequences that could arise in an inspection or after an accident.
